By submitting, you authorise Taxaccolega to process your data for ID verification with Companies House.

1. Purpose of this Agreement
1.1 These Terms & Conditions apply to the collection and processing of personal data and identity documents required under the Economic Crime and Corporate Transparency Act 2023 and Companies House identity verification rules effective from 18 November 2025.
1.2 By submitting your details through our online form, you authorise Taxaccolega Chartered Accountants (as an Authorised Corporate Service Provider – ACSP) to process your information for the sole purpose of fulfilling the identity verification obligations set by Companies House.

2. Client Responsibilities
2.1 You confirm that all information and documents you provide are true, accurate, complete, and current.
2.2 You accept full responsibility for any false, misleading, or incomplete information supplied, and acknowledge that this may lead to penalties or rejection of your verification by Companies House.
2.3 You must notify us promptly of any change in your details (such as name, address, or role in the company) which may affect the verification process.

3. Our Role & Limitation
3.1 We act solely as an intermediary in submitting your information to Companies House.
3.2 We do not guarantee the acceptance, speed, or outcome of any identity verification by Companies House. The final decision rests solely with Companies House.
3.3 We shall not be liable for any loss, delay, penalty, or consequence arising from:
* (a) inaccurate or incomplete information provided by you,
* (b) delays or failures within Companies House systems,
* (c) rejection or failure of verification by Companies House, or
* (d) events outside our reasonable control.
3.4 Nothing in these Terms excludes liability for death, personal injury, fraud, or any liability which cannot be excluded under law..

4. Data Protection
4.1 We will process your personal data in accordance with the UK GDPR and the Data Protection Act 2018.
4.2 Your data will be used solely for the purpose of identity verification and related compliance requirements.
4.3 We will retain your information only as long as required by law or regulatory obligations.
4.4 We will not disclose your information to third parties other than Companies House or other parties legally entitled to it.

These Terms & Conditions are governed by and construed in accordance with the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Why it is important to check someone's identity

The Economic Crime and Corporate Transparency Act will make it illegal to not check someone’s identity starting on November 18, 2025. The goal is clear: stop criminals from taking advantage of UK businesses, cut down on fraud, and make the Companies House register more accurate and trustworthy.

Who needs to check

If you are connected to a business that is registered in the UK, you will probably be subject to the new rules. If you are any of the following, you need to prove who you are:

● A Director, who runs a business

● The equivalent of a Director (members, general partners, and managing officers)

● A Person with Significant Control (PSC)

●An Authorised Corporate Service Provider (ACSP) is an accountant, lawyer, or agent who works for a business.

● A company secretary or someone else who files for a business

Verification for the following will also be introduced at later stages by the Companies House;

● People who file at Companies House (not already mentioned)

● Partnerships with limited liability

● Corporate Directors of a company

● Corporate Members of LLPs

● Officers who work for corporate PSCs

You usually only need to verify once, unless Companies House tells you to do it again.

When you need to check

It depends on your role and when you took it on:

● New directors (as of November 18, 2025) must check before they are appointed or incorporated.

● Existing directors must verify within 12 months, which is linked to when they file their next confirmation statement.

● Companies House must be told about new PSCs within 14 days.

●Existing PSCs must finish verification during the 12-month transition period, which is also linked to confirmation statements.

● When registering as an authorised agent, ACSPs must confirm their identity and give their personal code.

How to prove who you are

There are two official ways to go:

1. Logging in with GOV.UK One Login

This service is free and has a number of options based on your situation:

● Through an app on your phone
● By answering security questions on the web
● You can do this by entering your ID information online and then going to a participating Post Office to finish the process.

2. By using an Authorised Corporate Service Provider (ACSP)

You might want to have a professional, like Taxaccolega, check your identity. Companies House must give ACSPs permission and register them with a UK Anti-Money Laundering (AML) supervisory body.

Your personal code from Companies House

Companies House will send you a unique personal code once they have checked your information.

●It links your verified identity to your roles as a director, PSC, filer, or ACSP.

●When you file confirmation statements, get appointed, or take on a PSC role, you’ll need the code.

●Directors and PSCs who are already in place must use the code to link their verified identity to current records.

●Keep this code safe and only give it to people you trust, just like your Unique Taxpayer Reference (UTR).

What happens if you don't check

By not following the below rules can have serious effects:

● You won’t be able to file anything or start a business.

● Without verification, you can’t sign up as an ACSP (for agents only)

● If directors keep acting without being verified, they will not be complying with legal requirements which will be considered as committing an offence and could be disqualified.

● If PSCs don’t verify within their 14-day window, they may also be breaking the law.

● Companies House may fine businesses, add notes to the public register, and even take them to court if necessary. Companies House will block filings if you don’t verify in time.
